In Chargekeeper, a user is a person who can access the supervision, the mobile app and/or charging.

This page explains how to create a user, then walks through the user record tab by tab.

Creating a user

  1. Go to the Users module
  2. Click Create
  3. Fill in the mandatory information:
    • E-mail address
    • Language
    • Status (Pending / Active)
  4. (Optional) Fill in:
    • Last name and first name
    • Company
    • Phone
    • Address
  5. Save
  6. In the Groups tab, add the user to the groups they need (see Groups below)

Account

The Account tab holds the user's identity, status, company and affiliation.

Status

The status determines what the user is allowed to do. Only the Active status allows starting a charging session; stopping a session in progress is always possible.

Unblocking a user

  1. Open the user record, Account tab
  2. In the Status list, choose Active
  3. Click Save

The user is notified of the status change. Two special cases:

  • Locked: the account also unlocks by itself, after a short delay, at the next sign-in attempt, or as soon as the user resets their password.
  • Recharge locked: as long as an invoice remains unpaid, the account will be locked again at the next billing check. Have the invoice paid first; the account then returns to Active by itself.

Company

There are two ways to record a user's company, and they exclude each other:

  • Company: you pick a company declared in Chargekeeper. The user is actually attached to it.
  • Company name and VAT Number: you type free text. It is plain information carried by the account, with no link to a declared company.

Picking a declared company empties and disables the two free fields, and the other way round.

Attaching the user to a declared company has concrete effects:

  • the B2B contracts of that company apply to their charging sessions, for pricing as well as for invoicing;
  • with a monthly-invoiced contract, the company is the one invoiced: the user does not need a payment method;
  • the user's virtual badge is created as a professional badge;
  • home charging and its reimbursement become possible.

Use the free text when you only want to note a user's employer, without applying a company's conditions to them.

Affiliation

The affiliation tells how the user attached themselves to a company, and when. Three methods exist:

  • an affiliation code of a group or a company, entered at registration or in the mobile app;
  • the licence plate of a company vehicle, if the company allows it;
  • the visual identifier of a badge.

This area is read-only. It shows "The user account has not used an affiliation method to a company" for a user attached another way, for instance by an administrator or by a company's e-mail domain rule: this is not an anomaly.

Notifications

When a user account is created, some standard notifications are enabled by default. They can however be adjusted as needed. The user can also manage their notification preferences directly from the app.

The Enable notifications switch turns everything off or back on. The notifications offered to every user are:

  • session started, optimal charge reached, end of charge, end of session;
  • session not started, including when it stays in preparation;
  • account status changed, account inactivity;
  • new invoice;
  • monthly summary of home charging sessions.

The test button sends a trial notification to the user.

In addition, for accounts with an Admin role, specific notifications can be enabled: unknown badge, charging station error or offline, charging station registered, Smart Charging failure, billing operation failure, error reported by a user. These notifications can only be enabled from the supervision.

Address

The user's postal address can be entered in two places:

  • by the user, in the mobile app, at registration or from their profile;
  • by an administrator, in this tab of the supervision.

In the supervision, matching addresses are suggested as you type. The Latitude and Longitude coordinates are then filled in automatically; you can also adjust them by moving the marker on the map or by typing them. An address entered from the mobile app arrives without coordinates.

Chargekeeper does not track the location of users. The coordinates in this tab are those of the postal address, never those of the phone. The mobile app uses the device location only to display the map and compute the distance to charging stations: no location is stored on the user's account.

Security

This tab lets you:

  • set a new password for the user, following the rule shown under the fields;
  • tick API access;
  • view the user's single sign-on (SSO) identities, if any.

API access

Tick this box for an account meant for a program, not a person: an internal tool or third-party software that queries Chargekeeper through its APIs.

  • The access token obtained at sign-in stays valid much longer than a regular user's, which saves the program from signing in again and again.
  • Calls made by this account count against the monthly API call quota.

The box is only visible to administrators. Leave it unticked for accounts of people.

Groups

Groups carry the user's rights. The tab lists their groups, with the company and roles of each, and lets you add or remove some. Every user belongs to the default group, which cannot be removed.

A group serves two purposes:

  • Accessing the supervision: the roles of the group define what the user can do there, and the access rules define on which companies and site areas. Without any access rule on one of their groups, the user cannot sign in to the supervision.
  • Charging: a charging session is allowed as soon as a tariff applies to the user. A tariff open to all users requires no group; a tariff reserved to certain groups requires the user, or their badge, to belong to one of them.

Home charging

This tab appears on an existing user and follows their home charging. Its content depends on the chosen mode:

  • No company: a simple message, since home charging requires being attached to a company.
  • Manual mode: choose a period, then export the report or send it by e-mail.
  • Reimbursement mode: Invite to reimbursement button to open the employee's payout account, then account status, amount and number of sessions of the month, and payout history.

Payment Methods

This tab appears when billing is enabled on your platform. It lists the user's payment methods: status, default method, type, brand, last four digits, expiry date and creation date.

Depending on your rights, you can add a payment method, in Stripe's secure window, and delete one. The default payment method is shown, but cannot be chosen from this tab.

Consents

This tab answers questions about personal data protection. It is read-only: an administrator cannot change a consent on the user's behalf.

  • Registration: account creation date, origin of the registration (app, portal, Scan & Pay, import, supervision, single sign-on) and accepted Terms & Conditions version.
  • Consents: for promotional offers and partner offers, acceptance or refusal, with the date, origin and author of the initial decision and then of its last change.

Devices

This tab lists the devices the user signed in with, from the most recently used to the oldest. It is read-only.

  • Android device or iOS device: one entry per phone on which the mobile app is installed, with the app and its version, the model, the operating system and the date of last sign-in.
  • Web browser: a single entry, reflecting the user's last sign-in to the supervision, with the browser and operating system used.

A phone disappears from the list when it can no longer receive notifications, for instance after the app is uninstalled.

History

This tab shows all the notifications sent to the user, with the following details:

  • the delivery channel (e-mail, SMS, etc.),
  • the reason for the notification (session start, alert, etc.),
  • the associated charging station,
  • the date and time it was sent.

A user's first login

To log in to the supervision platform, the user must: 

  • Click on forgot password 
  • Enter the email address associated with their user account 
  • Set a password using the link received by email

Once the password is set, the user can log in to the supervision platform. 

Deleting a user

Deleting a user in Chargekeeper is subject to certain strict rules in order to ensure data security and to comply with legal obligations, particularly regarding the management of invoices and charging sessions.

Rules for deleting a user

Unpaid invoices:

  • Chargekeeper does not allow a user account to be deleted if that user has unpaid invoices. You must settle all outstanding invoices before you can proceed with deleting the account.

Data deletion:
When a user is deleted, the following information is permanently removed:

  • Their account and all of their personal information (last name, first name, email, etc.).
  • Their profile picture.
  • Their associated vehicles, if any.

Badge management:

  • The user's virtual badge (used for charging sessions via the mobile application) is deleted.
  • The physical badges (such as RFID cards) are not deleted, but are deactivated and anonymized. This means the badge can no longer be used, and all associated personal data is removed.

Charging sessions and invoices:

  • The user's charging sessions are anonymized. This means that all personal information associated with these sessions is removed, but the technical data (such as duration and consumption) is retained for analysis purposes.
  • Existing invoices linked to charging performed by the user are retained in accordance with the legal obligations to keep financial data. Personal information is removed, but the invoice details remain accessible for administrative and accounting purposes.

How to delete a user

To delete a user, you must make sure they have no unpaid invoices. Then, you can go to the User management section in Chargekeeper, select the relevant user, and proceed with the deletion. If any invoices remain unpaid, you will be prompted to settle them before you can continue.
